Privacy Policy

At Task Viking, we are deeply committed to protecting your privacy and maintaining the highest standards of data security. We understand that your trust is fundamental to our relationship, and we take our responsibility to safeguard your personal information seriously. This Privacy Policy outlines how we collect, use, process, and protect your data when you interact with our platform, services, and website. By using Task Viking’s services, you acknowledge that you have read and understood this policy and consent to our data practices as described herein.

When you create an account with Task Viking, we collect essential information such as your name, email address, the workspaces you create or join, and billing details to provide you with our task management services. Payments are processed by our payment provider, Stripe, and sold through Link, Stripe’s checkout; we do not receive or store your full card number. We also automatically collect technical data including your IP address, browser type, device information, and usage patterns to optimize your experience and ensure platform security. Additionally, as you use our features like tasks, updates and file attachments, team collaboration tools, the dashboard, and the AI assistant, we may collect data about your interactions, preferences, and workflow patterns. This information helps us personalize your experience and improve our service offerings to better meet your needs.

We use your personal data primarily to deliver our core services including task lists and boards, the dashboard, the AI assistant, and team collaboration features. Your information also enables us to communicate with you about service updates, security notices, billing matters, and new features that might benefit your workflow. We may analyze usage patterns and performance metrics to enhance our platform’s functionality and develop new features. Additionally, we use your data to provide customer support, resolve technical issues, and ensure compliance with legal obligations and our terms of service.

Task Viking protects your information with encryption in transit (TLS) and encryption at rest at the storage layer through our infrastructure providers. Access to production data is limited to authorized Task Viking personnel for the purposes of operating, supporting, and improving the service. We rely on SOC 2 Type II certified providers for authentication and data storage, hosting, and payment processing; you can review the current list on our Subprocessors page. In the unlikely event of a data breach, we will notify affected users and relevant authorities promptly as required by applicable laws.

We do not sell, rent, or trade your personal information to third parties for marketing purposes. We share data only with trusted service providers who help us deliver our services, including authentication and data storage, hosting, payment processing, email delivery, error monitoring, and the AI models behind the assistant. The current list is available on our Subprocessors page. We may also disclose your information if required by law, to protect our rights, or in connection with a business transaction such as a merger or acquisition. When sharing data with third parties, we require them to maintain adequate security measures and to use your information only for the specified purposes.

You have full control over your personal data. You can access and update your account information at any time in Settings. We retain your data for as long as your account is active; we do not automatically delete data after a set period. To close your account and request deletion of your data, please contact us at support@taskviking.com. For users in the European Union and other applicable jurisdictions, you have additional rights including data portability, the right to object to processing, and the right to lodge complaints with supervisory authorities. We respond to all data subject requests within the timeframes required by applicable privacy laws.

The AI assistant

Task Viking’s assistant answers questions about your work, by text or on a call. To answer, it reads the tasks, people, updates and attached files it needs, and only ones you can open yourself; it suggests changes, and makes them only when you save them. Your question and what it reads are sent to the AI model providers listed on our Subprocessors page to produce the reply: Anthropic for its answers, and, on a call, OpenAI to turn your speech into text and its replies into speech. They process it under their terms for business use, which do not let them train their models on it. We keep a record of when each question was asked and how many it counted against your plan, not what was asked or answered.

Google Calendar

Task Viking can put your tasks into your Google Calendar. This is optional and off until you turn it on in Settings > Google Calendar, where you connect your Google account and choose one of your calendars. When you connect, Google asks you to allow Task Viking to see your basic profile and the email address of your Google account, to see the list of calendars you have, and to see, create, change and delete events on your calendars.

We use this access only to show you which Google account is connected, to let you choose a calendar, and to keep the tasks you’re on (as their owner, creator or participant) that have a due date in that calendar, at their due time or as all-day items, adding, changing and removing them as your tasks change. Task Viking only works with the items it puts in your calendar, which it keeps track of; it does not read, change or delete your other events, and of your other calendars it sees only their names. What it writes there comes from Task Viking: each task’s title, its workspace’s name and a link back to the task.

We store only what the connection needs: the email address of the connected Google account, the name and identifier of the calendar you chose, which calendar items belong to which tasks, and the tokens Google issues for the connection. The tokens are kept in our database, where only our servers can read them, and our database provider encrypts them at rest (see our Subprocessors page). We do not keep a copy of your calendar or its events.

We do not sell information we receive from Google, use it for advertising, or use it to develop, improve or train artificial intelligence or machine learning models, and our AI assistant does not see it. We do not share it with anyone except as needed to provide this feature, to comply with the law, or as part of a merger or acquisition with your information kept under this policy. People at Task Viking do not read it, except with your permission, to investigate a security problem or abuse, or where the law requires.

You can stop this at any time. Disconnect in Settings > Google Calendar stops the syncing, tells Google to revoke our access, and deletes the stored tokens; the items already added stay in your calendar, where you can delete them. You can also remove Task Viking’s access from your Google account at myaccount.google.com/permissions. If you close your Task Viking account, the connection details are deleted with it.

Task Viking’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Slack

Task Viking can send you notifications in Slack. This is optional and off until you connect Slack in Settings > Slack, which adds the Task Viking app to the Slack workspace you choose and turns Slack notifications on. When you connect, Slack asks you to allow Task Viking to send messages as the app and to start direct messages with people. Task Viking does not ask for, and cannot use, access to read your messages, channels or files.

We use this access only to send you, and only you, direct messages from the Task Viking app: when a teammate @mentions you on a task (who mentioned you, the task’s title, its workspace and the note), when a teammate makes you the owner of a task or adds you to one (who did, the task’s title, its workspace and its due date), and on the day a task of yours is due (its title and when it’s due). Each message has a link back to Task Viking. Once sent, a message is held by Slack in your Slack workspace, under Slack’s privacy policy and your workspace’s own settings. Nothing is read back from Slack, and nothing done in Slack changes anything in Task Viking.

We store only what the connection needs: the name and identifier of the connected Slack workspace, your Slack member identifier, a short record of which notifications have been sent so that none is sent twice, and the access token Slack issues for the connection. The token is kept in our database, where only our servers can read it, and our database provider encrypts it at rest. We do not keep copies of the messages.

We do not sell information about your Slack connection, use it for advertising, or use it to develop, improve or train artificial intelligence or machine learning models, and our AI assistant does not see it.

You can stop this at any time. Turning off Send Slack notifications in Settings > Slack pauses the messages. Disconnect tells Slack to revoke the app’s token and deletes the stored token and connection details; messages already sent stay in Slack, where you can delete them. A Slack workspace admin can also remove the Task Viking app from the workspace in Slack, which ends its access there for everyone. If you close your Task Viking account, the stored token and connection details are deleted with it.

Changes to this policy

We may update this Privacy Policy periodically to reflect changes in our practices, services, or legal requirements. When we make significant changes, we will notify you via email or through prominent notices on our platform before the changes take effect. We encourage you to review this policy regularly to stay informed about how we protect your privacy. Your continued use of Task Viking’s services after policy updates constitutes acceptance of the revised terms. If you have any questions or concerns about this Privacy Policy or our data practices, please contact us at support@taskviking.com.
